SMS Pro -- Aviation Safety Management System Risk Manager

SMS Pro™ is Web-based aviation safety management system tool that allows operators and airports to manage their safety, security, compliance and quality issues based on ICAO, IS-BAO, Transport Canada and FAA requirements and advisory material.

SMS Pro™ is an integrated solution that facilitates airport operations by increasing the efficiency of business processes, improving service delivery to meet goals and objectives and improving operational and management reporting. Since SMS Pro™ is a Web-based application it ensures information sharing across the organization. The SMS Pro™ allows easy, real-time report generation, automated alerts, and varying levels of transparency based on organizational culture.

SMS Pro™ is a consolidated and fully integrated SMS tool designed so each reported issue is stored and managed as a work-item from user to user via the SMS Pro ™ email notifications as follows:

  • Safety manager assigns issue to a department & responsible manager (Dept Head);
  • Dept Head determines appropriate corrective actions and assigns them to employees with due dates;
  • When corrective actions have been completed, users notify Dept Head of status change;
  • Dept Head confirms satisfactory completion of corrective actions and accepts or rejects performance;
  • Safety Manager is notified when all corrective actions have been completed;
  • Safety Manager closes issue and set a review date;

Key features & functionality:

  • Investigations and cost tracking may optionally occur.
  • At any time, the individual reporting an issue may login and see the status of their issue, thus increasing accountability. Comments are kept for historical purposes.
  • Each user has a unique user name and SMS Pro™ allows work re-allocation among different users in the same role. This ensures that leave / attrition creates no side effects on the functioning of the system.
  • Security and permissions are based on role-based security adopted from Microsoft's Membership Role Provider model. System functionality is based on users' roles. For example, auditors may view, but not change content, except to add remarks, report finding and concerns, etc.
  • Reported issues are assigned a unique ID number to distinguish them from similar issues.
  • Sophisticated filters allow issues to be easily searched by key word, status, reported date, priority and more.
  • Conventional sorting functionality exists to assist users in managing data. Data may be exported to Excel or Word, thus facilitating the creation of custom reports.
  • Color coded issues are easily identified as to their Risk Level.
  • Users easily see when tasks, corrective actions and assigned issues are overdue by colors and alert symbols.
  • SMS Pro ™ allows users to easily create and manage corrective actions and tasks. Email communication is integrated throughout the application, notifying parties of important events, such as status changes.
  • Audit history is visible to all users with appropriate security permissions. Auditors can see remarks and actions of previous auditors.
  • Reported issues are periodically reviewed to ensure implemented controls are effective. This review history remains documented and visible to all users with appropriate security permissions.
  • Custom reports can be created by NWDS.

SMS Program Management Modules

SMS Implementation Manager™ is used to plan and manage SMS implementation. Operators can use preloaded ICAO, Transport Canada and FAA implementation plans or create their own. Managers can track and measure their SMS implementation.

Safety Goals and Objectives Planner™ provides a means for organizations to set and track SMS goals and objectives. SMS PRO™ automatically populates the module with data from the SMS database and the Gap Analysis Tool™. The program also automatically queries hazard, risk, audit, and financial data and compares against company-set objectives. 

Meeting Manager™ is used to manage SMS meetings. The application references the SMS database, automatically populates meeting agendas and sends meeting agendas and minutes to invitees. Meetings can be managed using real-time data from the SMS database. Meeting tasks are logged in the application for follow-up. 

 Safety Policy and Document Modules

Document Manager™ provides a means for operators to make SMS and other documents widely available throughout the     organization. Administrators can set “view” and “edit” permissions for each document. The module also tracks revision history for each document.

Policy and Document Reviewer™ automatically emails policy and document owners a reminder when each policy or document is scheduled for review. After review, the reminder can be reset.

Policy Manager™ provides means to post and manage safety or other policies on the company’s Web portal where employees and others in the organization can easily access them.

Organization Chart™ is a dynamic module which provides a means for operators to make the company’s organization chart widely available.

Duties and Responsibilities Manager™ provides a clear definition of how SMS and other duties and responsibilities are spread throughout the organization.

Risk Management Modules

Issue Manager™ allows users to report safety, security, quality, or compliance issues from anywhere in the world. The module includes all the features required by SMS including: anonymous reporting, risk analysis and assessment, accountability, corrective action management, follow up and review. The built-in Quick Sort™ and

Quick Table™ modules also allow managers to easily sort and prioritize issues.

Proactive Hazard Analysis Tool allows the organization to manage risks proactively. It includes the elements required by SMS; hazard documentation, initial and residual risk analysis, and identification of controls and recovery measures.

Corrective Action Manager™ allows managers to keep track and prioritize corrective actions.

Global Risk Management Library™ provides a means for operators to reference a library of hazards to build their operational risk profile. Operators may opt out of the library by choosing not to share.

 Quick Sort™ is a grid with sophisticated sorting and filtering capabilities. Export data to Excel or Word. Auditors can see which issues they have audited by a date range or view the work of other auditors.

Quick Table™ allows users to quickly find and group issues by "Type of Issue" (Safety, Quality, Security, and Compliance) or by "Status." This is a nice investigative module to determine where problems may be occurring in your SMS.

Safety Assurance Modules

Gap Analysis Tool™ allows the organization to conduct a gap analysis against FAA and/or ICAO standards. The application keeps track of each gap analysis and charts continuous improvement over time.

Performance Monitor provides management with a snapshot of how the SMS is performing. It includes key performance indicators such as hazard reporting, risk management, costs, time to close issues, etc. The board includes charts, tables, percentages, etc.

Internal Auditor™ provides a means for operators to customize and manage internal audits. The module allows for custom     inspection forms. Users can also access the Audit Checklist   Library to use checklists donated to the SMS community by other operators. The application will also query the Safety Risk        Manager™ module to create checklists based on your company’s risk profile.

Hazard Analysis Tool™ provides a means for operators to drilldown and chart data in the SMS database including types of   hazards, root cause analysis, issues by departments, divisions, etc. This analysis provides useful information and identifies areas of risk which may need prioritization.

Safety Promotion Modules

Training and Qualifications Manager™ provides a means for operators to manage employee training and qualification requirements.

Lessons Learned™ utilizes information from issues and incident investigations to create lessons learned. Information can be de-indentified before it gets communicated throughout the organization.

SMS Induction™ is used to track and manage employee induction into the SMS program.

Read File™ allows users to post safety information to a central location for everyone in the organization to see and read.  Managers can keep track of who in the organization has read the postings.

SMS FAQs™ provides a means to answer the most frequently asked questions about the company’s SMS.

Safety Survey™ module allows operators to quickly identify the organization’s safety culture. Respondents can answer the survey and remain anonymous.
